Classroom seating chart template

Start with a class list that can survive revisions, then produce one clean page another teacher can understand in ten seconds. This workflow works for rows, pairs and desk groups without storing student names on a server.

Build the working list before drawing boxes

Keep the master class list in one spreadsheet column, one student per row. A second column can hold the current seat or group, and a private third column can hold planning notes. Do not merge cells or scatter names around a picture of the room: that looks finished too early and makes every revision slower.

Three templates using the same class of 24

For rows, use four rows of six. Number seats from the teacher's left as they face the class, not from the students' perspective, and print a small arrow labelled Board. That removes the most common ambiguity when someone else reads the plan. Leave a centre or side aisle that remains usable when chairs are occupied.

For pairs, use twelve pairs and number each pair rather than every chair. Pair 1A and 1B is enough detail when exact left-right placement matters. If it does not matter, list two names under Pair 1 and avoid creating precision the lesson does not need.

For groups, use six groups of four. Give each group a stable label that is visible in the room: 1–6, colours, or subject-relevant names. Numbers are easiest for cover staff. Match the printed label to a card on the actual table so the chart still works when furniture has shifted slightly.

Make a cover-teacher version, not a planning dump

A useful cover copy has the class name, date, board direction and every student exactly once. It does not include diagnoses, family details or a narrative explaining why two students are apart. If there is essential information a cover teacher must know, provide it through the school's normal safeguarding and support process.

Test the page from the doorway. Can someone find Group 4 without asking a student? Can they identify an unoccupied seat? Can they tell which way the class faces? A chart that needs a spoken explanation is not finished. Use Print / Save PDF and keep the filename explicit, for example 8B-seating-2026-08-21.pdf, so an old copy is easy to spot.

Reserve fixed positions before balancing the class

Mark fixed positions first: clear board view, hearing access, mobility route, reduced-distraction location and any seat required by a support plan. Then assign the remaining students. This prevents a common mistake where a tidy behavioural arrangement is built first and accessibility is squeezed into whatever space remains.

For a 30-student room, reserving three fixed seats still leaves 27 flexible placements. Seat those three manually and lock them, add genuine keep-apart pairs, then arrange the rest. The printed version only needs names and positions; the reason a seat is fixed belongs in the appropriate private record.

Use versions so Monday does not start with the wrong plan

Keep one current PDF and archive older versions by date. Replace the desk copy whenever you change the browser plan, and send the same version to colleagues who share the room. Handwritten changes on a printed chart are fine for one lesson, but update the master before the next week or those changes become invisible decisions.

Review the chart after five teaching days. Note whether the class starts faster, whether the teacher can reach every desk and whether any group repeatedly needs a move. If only the membership is wrong, keep the furniture and generate a new assignment. If the room itself is fighting the lesson, compare the six classroom seating arrangements before moving names again.

Does the template work for rows?
Yes. Treat each row as a group and set the seats per group to the row length. Four groups of six represent four rows for a class of 24; five groups of six represent 30 students.
What information should be on a cover-teacher seating chart?
Include the class, date, board direction, visible table or row labels and each student's display name once. Keep diagnoses, family information and private behaviour notes out of the printed chart.
Can I create separate charts for several classes?

Are student names uploaded?
Not in the free local mode. Names and placements are uploaded only if you deliberately use an Event Pass for that class. Schools should approve cloud processing first; use the school's approved system for sensitive notes.
How should I number classroom seats?
Number from the teacher's viewpoint and show the board direction. Use Row 1 Seat A–F when exact positions matter, or simply list names under Row 1 or Group 1 when left-right order is unimportant.
